Guardians
Understand how a designated Guardian can help manage an eligible account.
An account Guardian is a trusted contact who can temporarily enter your CareMap account and help operate your personal workspace. The Guardian relationship is effective only while the contact connection and your required Unlimited Guardians grant are active.
Guardian access is broader than individual contact permissions, but it is not administrative access. A Guardian can work with your workspace, Reports, Record, Notes, and schedules. They cannot manage your contacts, other Guardians, licenses, account, or whole workspace.
Before you designate a Guardian
- Add the person as a CareMap contact and make sure the contact is Active.
- Choose someone you trust to work in your account and view its care information.
- Confirm your account has an active grant that includes Unlimited Guardians. If it does not, the Guardian control is not available for a new designation.
An active contact does not become a Guardian automatically. Ordinary contact permissions such as Report or Record access remain separate until you explicitly change them.
Designate a contact
- Open People and select Contacts.
- Open the active contact who should become your Guardian.
- Select Permissions.
- Turn on Guardian.
- Select Save permissions.
The saved designation becomes effective when both the contact and the required Guardian grant are active. If the Guardian option is missing, confirm that you opened an active contact and that your current license or Package includes the required grant.
A Supplier can also prepare Guardian relationships while creating a managed account. Those relationships remain pending until a compatible Package is paid and fulfillment completes; creating the accounts alone does not activate Guardian authority.
Use Guardian access
When someone has made you their effective Guardian:
- Open People and select Contacts.
- Open the contact who granted you access.
- Select Pass through.
- Confirm that the Viewing as banner names the expected account before you make changes.
CareMap opens a temporary session that uses the account owner's access. Actions in that session affect the account you are viewing, and CareMap records the passthrough source in its audit history.
To return to your own account, select Exit passthrough in the Viewing as banner, or open Settings and select Exit passthrough. Confirm the exit in the dialog. You cannot start another passthrough while one is already active.
Suspend or revoke access
A saved Guardian designation is suspended when the contact is not active or the account owner no longer has the required Guardian grant. A suspended Guardian cannot use passthrough. The designation can become effective again if both requirements are restored.
To revoke the designation:
- Open the Guardian's contact profile in People > Contacts.
- Select Permissions.
- Turn off Guardian, then select Save permissions.
Removing the contact also prevents the Guardian relationship from being effective. Revoking or suspending access does not erase earlier activity or audit history.
Account Guardians and delegated access are different
The Delegated access section on a Person's profile manages access scoped to that Person. It can list active or revoked relationships with labels such as Guardian. That person-level relationship does not provide account passthrough and is not the same as designating an account Guardian from a contact's Permissions dialog.
If you only need to share selected Reports or Record access, use the narrower contact permissions instead of Guardian access. Review Guardian access whenever a contact, care arrangement, or license changes, and revoke it when the person no longer needs to operate the account.
