Organization roles

Understand how organization roles affect workspace and management access.

An organization role sets a person's baseline access to one organization workspace. It does not make that person a global CareMap administrator, and it does not replace Licenses, folder permissions, or access to individual People.

MemberOpens the organization workspace and views available organization Library content. Members do not receive organization management or Staff-visible client access merely by belonging to the same organization.
StaffReceives edit access at the organization workspace root and can work with clients assigned to the organization in areas such as People, Schedule, and Reports. Staff can review the organization but cannot change Staff, clients, or organization identity.
Manager StaffHas Staff access plus the Manager setting. Manager Staff can add or remove Staff, change the Manager setting for Staff, manage Staff invitations, and use the management destinations CareMap makes available, including Devices and Holds. They can review organization Licensing but cannot issue or change Licenses.
OwnerHas the broadest organization authority. Owners can manage Staff and clients, invitations, organization name and logo, shared devices, and other organization controls.

The actions currently shown in CareMap are the best guide to the effective permission. For example, an organization Package must still supply authoring before a Staff role can be used to create content.

Review or change a role

Global administrators can manage ordinary membership roles:

  1. Open Admin > Access > Users.
  2. Open the user, select Access, then open Organizations.
  3. Use Add membership to choose an organization and assign Member or Staff. For an existing editable membership, change its Role in the table. Use Remove to end that membership.

Organization Owners and Manager Staff manage Staff from the organization workspace. Open Members > Staff to add or remove Staff and use the Manager checkbox to grant or clear Manager Staff access. They can also use Invite Staff from the organization overview. An invitation does not grant access until it is accepted.

Owner-only controls remain unavailable to Manager Staff. Global administrator access is managed separately from organization roles.

Understand changes and missing access

Changing Member to Staff raises the organization workspace's root access from viewing to editing. Changing Staff to Member, removing the membership, or suspending it can remove organization editing, management, and Staff-visible client access. A separate direct or inherited folder share may still provide access to that folder.

If a role or action looks wrong:

  • Confirm that you switched to the intended organization workspace.
  • Refresh CareMap after a recent role or invitation change.
  • Ask an Owner or global administrator to confirm the membership and, for Staff, whether Manager is selected.
  • Check the organization's Licenses and the relevant folder or client access when the role is correct but a feature or record is still unavailable.
