Manage Record Types
Define the structured Record Types available to eligible workspaces.
Record Types define the kinds of information that can be collected in a person's Record. Forms, Guides, and manual Record entries can use the same type so related values appear together over time.
Review CareMap-wide Record Types
- Sign in with an administrator account.
- Open Admin > Content > Record Types.
- Review the types grouped by category. Each row shows its name, description, value type, generated code, and lifecycle.
Enter a term in CareMap's search field while Record Types is open to narrow the list by name or description. Only CareMap administrators can open this Admin section and manage CareMap-wide Record Types.
An organization can also have Record Types that are available to its clients. Administrators can review them from Admin > Access > Organizations by selecting an organization and opening Record Types. Organization Staff can review the same section in their organization workspace, while only an owner, manager, or CareMap administrator can change it.
Create a Record Type
- Select New Record Type.
- Enter a clear Name, Category, and optional Description.
- Choose the Value type:
- Text for written information;
- Number for a decimal or integer, with optional unit, range, and step;
- Boolean for a yes-or-no value;
- Choice for one or more configured options, optionally including Other; or
- Date / time for a date, time, date and time, or date range.
- Choose whether to Show this Type before the person has any entries.
- Select Save Record Type.
CareMap generates the code shown in the table when the type is created. Use a distinct, descriptive name so the resulting type is easy for authors and administrators to recognize.
Edit, archive, or restore a type
Select Edit to change an active type. Once a type has entries or field bindings, settings that define its value shape may be locked. CareMap-registered structured types also keep their registered shape. You can still change the fields that remain enabled, such as the name, category, description, or visibility.
Select Archive when a type should no longer receive new entries or be chosen for new use. Archived types remain listed for reference and cannot be edited until you select Restore. Restoring makes the type active again; archiving does not create a replacement type.
If a type cannot be saved or found
- Make sure the name is not blank and that required Choice options or Number settings are valid.
- Restore an archived type before trying to edit it.
- Clear the current search if the expected type is not visible.
- If CareMap reports a loading error, select Reload Record Types and retry once.
- If a value setting is locked, keep the existing shape or create a separate Record Type for the new kind of value.
